Entity Relationship Design (ERD) Rules

A standard CRM never stores people and companies in the same table. You need to setup a minimum structure of 4 Linked Records tables:

  • Companies Table: Stores Company Name, Tax ID, Address, Size. (1 company can have many contacts)
  • Contacts Table: Stores Person Name, Phone, Email, Title. (People change jobs, you just update the link)
  • Deals/Opportunities Table: Stores Project Name, Expected Value, Probability %, Expected Close Date.
  • Activities/Logs Table: Logs all interaction history (Calls, Meetings, Emails). This is crucial for handover when someone resigns.

The Power of Views

Instead of scrolling a giant spreadsheet, setup views for management purposes:

  • Kanban View for Deals: Organized by Stage (Lead -> Demo -> Proposal -> Negotiation -> Won/Lost). Easy drag and drop.
  • Formula View "Stale Deals": Filters deals in negotiation where the Activities table hasn't been updated in 14 days (Red Alert).
  • Grid View "Won this month": Used for team celebrations and quick commission calculations.

Automation Integration

Utilize Airtable's built-in Automations: When a Deal status changes to "Closed Won", Airtable automatically locks the record to prevent edits (protecting financial data), while simultaneously sending an email with project details to the Operations department for Onboarding.
